Despite the popularity of text messaging and social networks, Email ( email ) remains the most common form of written communication in the business world. We already wrote earlier how to compose . Most of the article mentioned is true for email writing as well.

1. How to read an email address

Probably everyone knows that email addresses are written in Latin letters, the case of letters does not matter and there are a few more rules that each mail server will explain to you when opening a new email address. For business etiquette it will be very useful to use the name and surname of the addressee or the name of the department of your organization in the mail address.

Take for example a fictional address: [email protected] . It is clear that the person who is writing to you from this address is named Tom Smith. How do you pronounce an email address in English?

Dot before ru, com, org, net…., and also after the name tom read - " dot »
Underscore - " underscore »
So our fictitious address [email protected] will read: tom dot smith at mail dot ru

2. Always complete the subject line

And write there what is important for the addressee to know, for example: Meeting next week (meeting next week) or Save up to $100 with our spring savings (Save $100 With Our Spring Deals). Avoid writing phrases like: "Important" or "Must read for everyone!" etc.

3. State the main idea in the opening sentence

Most readers will not read the letter to the end if there is information they do not need at the beginning, so immediately after the greeting, state the essence. Example:

Dear Elena Petrova,

It's been 3 weeks since I last sent out a newsletter. My apologies, but I have been busy working on my new course in linking sounds at Britlish.com, as well as teaching students online. 4. Never start a message with this

For example: This needs to be done by 14:00. (This must be done by 2 pm). Always be specific about what you are writing about.

5. Do not use only CAPITAL or only lowercase letters

Unless, of course, this is not a cry for help and not your poetic idea.

6. Avoid Abbreviations and Abbreviations

You can’t, even if you really want to, insert something like: ROFLOL - rolling on the floor laughing out loud (I roll on the floor laughing out loud). Your reader might want to know WUWT - what's up with that (with what it is connected), and you will not be familiar with such an abbreviation.

7. Be concise

If your message is longer than 2-3 short paragraphs, consider whether it can be shortened or included as an attachment.

8. Don't forget to write "thank you" and "please"

We are not talking here about the fact that “thank you” and “please” can also be used with sarcasm: “Thank you for understanding why we canceled the meeting” - this is picky and petty. It is not polite.

9. Add a signature block with relevant contact information

In most cases, your name, business address, and phone number will suffice. You don't need to clutter up your signature block with smart quotes and pretty pictures.

10. Edit email before sending

You may be too busy to thoroughly double-check every email before sending. However, if you miss the mistakes, then your reader may think that you are an irresponsible and illiterate worker.

11. Respond to Serious Messages Immediately

If you need more than 24 hours to gather information or make a decision, please send a short reply explaining the delay.

One of the tasks in the exam on English language is writing a personal letter in response to a letter from an "English-speaking pen-friend". The volume of the letter is limited to 100-140 words.

In the OGE, starting from 2020, the letter is planned to be canceled, it is still unknown about the USE.Due to the irrelevance of the letter to the OGE, given below the instruction is relevant only for the exam. However, the only difference with the OGE is that:
● at the Unified State Examination they are asked to ask 3 questions, but not at the Unified State Examination;
● the volume of writing for the USE is 100-140 words, and for the USE 100-120.

Writing a letter in a foreign language is an easy task that must be completed as quickly as possible in order to leave time for other tasks. So, consider the uniform rules for writing a personal letter.

In the upper right corner enter the address in the following order:
house number, street name
city
a country

It is allowed to indicate the address in a short form, for example:
Moscow
Russia

Under the address skipping a line, you must write the date of the letter:
June 4th, 2019
June 4, 2019

or less formally:
04/06/19

The letter begins with an informal address. If the name of your interlocutor is not indicated in the task, it should be invented:
Dear Tim,
Dear Rebecca,

A comma must be placed after the appeal!

Divide the text of the letter into several logical paragraphs, each of which start with a red line.
1. In the first paragraph, you should thank your friend for his letter:
Thanks (a lot) for your (last) letter.
Your last letter was a real surprise.
I was glad to get your letter.
It was great to hear from you! / It was great to hear that… / I was happy to hear…

You can also apologize for not writing earlier:
Sorry I haven’t been written for so long but …/ Sorry I haven’t been in touch for so long.
I"m sorry I haven"t answered earlier but I was really busy with my school.

and / or mention any fact from the received letter:
I'm glad you passed your History test!
Sounds like you had a great time in London!

2. The body of the letter (2-3 paragraphs). In it, you must disclose all the aspects indicated in the assignment. Don't forget to ask the necessary questions.
The letter is supposed to be written in an informal style, so you can use informal linking words such as well, by the way, anyway, so, colloquial expressions like Guess what? Or Wish me luck! as well as exclamation marks.

3. The last paragraph should explain why you are ending the letter:
Well, I'd better go now as I have to do my homework.
Anyway, I have to go now because my Mum asked me to help her with the washing up.
I've got to go now! It's time for my favorite TV show.

and mention further contacts:
Write (back) soon!
Take care and keep in touch!
Drop me a letter when you can.

At the end of the letter on a separate line the final cliche phrase is indicated, which depends on the proximity of the author and the addressee. It is always followed by a comma! Below are the possible options from the least formal (1) to the more formal (7):

6) With best wishes,
7) Yours,

On the next line, under the final phrase, the author's name is indicated (without a surname!). For example:
